Terms for family history tours

Initial Assessment and Feasibility

In response to your initial enquiry, I will assess the feasibilty and practicality of the goals of your tour, taking into consideration:

  • significant places you wish to visit (e.g. ancestor's home, place of worship, workplace),

  • tie-ins with specific local or national events,

  • general sight-seeing,

  • archival research you may wish to undertake,

  • people you may wish to meet,

  • the amount of time available to you,

  • how much guiding you want me to give during the tour (e.g. a full day, half a day, none),

  • how you wish to get around (e.g. public transport, car hire, car + chauffeur),

  • your accommodation preferences,

  • any physical limitations you may have,

  • your budget.

 

Please complete the Request Form to start the ball rolling to capture these essentials and add anything else you think relevant. I may contact you to obtain further information.

Once all the above factors are known I will perform the initial assessment and feasibility and detail my findings in a Tour Assessment document, which I will provide to you free of charge. The Tour Assessment will include a draft outline itinerary for the visit, aimed at meeting your requirements, but noting any issues that would need to be discussed and resolved. It will also include my fees and a list of any likely disbursements I may need to make on your behalf in advance of your visit

Together with the Tour Assessment I will provide my invoice for an intial deposit. Payment of the deposit must be made by you, and the funds cleared by my bank, before I can proceed further. This will constitute a contract between us. I will thereafter check and confirm the availability/opening times of the places and events you wish to visit, the availability of any people you wish to meet, investigate accommodation and transport options, make all necessary arrangements, and firm up the itninerary. Please note I will only provide suggestions for accommodation and transport for you to choose the options you prefer, and it will be for you to make your bookings directly with the suppliers.

 

On completion of this further work I will send you my invoice covering the remainder of my fees and any necessary disbursements, as detailed in the Tour Assessment. Once I have received your payment and it is cleared by my bank, I will provide you with a Tour Proposal document which will include the fully detailed itinerary and timescales, plus suggested options for accommodation and transport.

Sharing of Information

Information provided by you will not be shared by me with any third party unless requested by you or agreed with you beforehand.

Termination of Contract

You may terminate the contract at any time by notifying me via the Contact Form. If the tour has not yet been undertaken, I will calculate the amount of work performed by me up to the point of my receipt of your notification to terminate the contract, and I will reimburse you for any fees and any disbursements not yet incurred.

Complaint

In case you wish to raise a complaint you should write to me via the Contact Form detailing the specifics of your complaint. I will evaluate the complaint and if I agree that I am responsible for an error or omission, I will either refund an amount of your fee appropriate to the complaint, or seek to correct the issue (if appropriate) at no extra cost to you, subject to your agreement.
